How to Safely Package Your Computer for Mail-In Service
Welcome to the iTechVista Mail-In Overhaul service! To ensure your computer arrives safely at our Marshville, NC service center, proper packaging is essential. Damage during transit can unfortunately occur if items aren't packed securely. Please follow these guidelines carefully to protect your device.
What You'll Need:
- Sturdy Cardboard Box: Slightly larger than your wrapped computer (see "Choosing the Right Box" below). Double-walled is best.
- Bubble Wrap: Plenty of it! Large bubbles are generally better for cushioning.
- Packing Tape: Strong, high-quality tape.
- Padding Material: Packing peanuts, foam padding, crumpled packing paper, or old (clean) towels/blankets. Avoid newspaper alone as it compresses easily.
- (Optional) Plastic Bag: For laptops or small components like power adapters.
Packaging Your DESKTOP Computer (Tower):
- Power Down & Disconnect: Shut down your computer completely (not sleep or hibernate). Disconnect all cables – power cord, monitor, keyboard, mouse, USB devices, network cable, etc.
- Internal Check (Optional but Recommended): If you are comfortable doing so, check inside the case to ensure heavy components like large graphics cards or CPU coolers are securely mounted. Do not remove components unless instructed.
- Wrap Thoroughly: Wrap the entire desktop tower in multiple layers of bubble wrap. Pay extra attention to corners and edges. Secure the bubble wrap with packing tape.
- Prepare the Box: Place a thick layer (at least 2-3 inches) of padding material at the bottom of the box.
- Place & Pad: Carefully place the bubble-wrapped tower inside the box, centered on the bottom padding layer.
- FILL ALL GAPS: This is crucial! Fill all remaining empty space around the top, bottom, and all four sides of the tower with your padding material. Pack it snugly so the tower cannot shift or move at all within the box if you shake it gently.
- Top Layer: Add a final layer of padding on top before closing the box flaps.
Packaging Your LAPTOP Computer:
- Power Down & Disconnect: Shut down the laptop completely. Disconnect the power adapter and any connected peripherals (mouse, USB drives, etc.).
- Protect (Optional): You can place the laptop inside a large plastic bag to help protect its finish.
- Wrap Securely: Wrap the closed laptop in several layers of bubble wrap, securing it with tape.
- Prepare the Box: Place a thick layer (at least 2-3 inches) of padding material at the bottom of the box.
- Place & Pad: Place the wrapped laptop inside the box on the padding layer.
- IMPORTANT - Include Power Adapter: Wrap the laptop's power adapter and cord separately in bubble wrap. Place it securely next to the laptop, ensuring it cannot shift and hit or scratch the laptop during transit. Pad well around it.
- FILL ALL GAPS: Fill all remaining empty space tightly with padding material so the laptop and adapter cannot move inside the box.
- Top Layer: Add a final layer of padding on top.
What NOT to Send (Unless Specifically Requested):
- Monitors
- Keyboards
- Mice
- External Hard Drives / USB Flash Drives
- Webcams / Microphones
- Speakers
- Manuals or Software Discs
- Any cables except the essential power adapter/cord for a laptop.
Choosing the Right Box:
- Size: The box should be large enough to accommodate the wrapped computer plus 2-3 inches of padding material on all sides (top, bottom, and all four sides).
- Strength: Use a new or like-new, sturdy corrugated cardboard box. Double-walled boxes offer significantly better protection. Avoid flimsy boxes or those showing signs of wear/damage.
- Original Boxes: If you have the computer's original manufacturer box with its fitted foam inserts, this is often a good option. However, for maximum safety, we recommend placing that box inside a slightly larger shipping box with padding between the two boxes (double-boxing).
Sealing and Labeling:
- Use your packing tape generously. Seal the center seam on the top and bottom, and then seal all edge seams (the "H-tape" method is recommended).
- Affix the shipping label securely and clearly onto the top of the box. Ensure it's flat and easy to read.
- Remove or completely cover any old shipping labels, barcodes, or addresses.
Shipping Recommendations:
- Carrier: Use a reputable shipping carrier like UPS or FedEx.
- Insurance: We strongly recommend purchasing shipping insurance that covers the replacement value of your computer.
- Tracking: Always get a tracking number and keep your shipping receipt until you have confirmation of delivery.
Important Notes & Disclaimer:
- Please back up any important data before sending your computer. While we take utmost care, you should always have backups.
- iTechVista is not responsible for damage that occurs during shipping to our facility caused by inadequate packaging. Following these guidelines significantly minimizes risk.
